KhanTech Labs Privacy Policy

This policy explains, in plain English, what personal information KhanTech Labs (“we”, “us”) handles when you use our mobile service, why we handle it, and the choices you have. The service helps South African users track and manage firearm licence, competency and renewal administration. It is currently in private pilot testing.

KhanTech Labs is an independent business. It is not part of, and is not endorsed by, the South African Police Service (SAPS).

Information we may process

Depending on how you use the service, we may process:

• your email address and other account information;
• firearm application information you enter, including renewal information;
• SAPS application reference numbers;
• firearm serial numbers, where they are needed to track an application;
• the status of your applications and the history of status changes;
• device notification tokens, so we can send notifications to your phone;
• information you choose to send us when you ask for support; and
• information you choose to provide if you use application or motivation assistance, where that is offered.

We aim to keep only what the service needs. If we do not need to store something, we try not to.

Automated SAPS tracking

If you turn on automated tracking for an application, we check its status on your behalf. To do that, your SAPS application reference and, where needed, the firearm serial number may be sent securely to our servers and stored in encrypted form so the service can keep checking your application status.

We do not use full SAPS reference numbers or firearm serial numbers for community processing-time statistics (see below).

Information that stays on your device

Some information and documents stay only on your own device. Where the app says an item is stored locally, we do not receive a copy of it. This does not apply to everything in the app: information used for automated tracking, described above, is handled as explained in that section.

Processing-time insights

We may use de-identified information about application timing and status changes to calculate and improve processing-time insights. This information is prepared so that it does not directly identify you, and it never includes full SAPS reference numbers or firearm serial numbers. De-identification reduces, but cannot completely remove, the possibility that information could be linked back to a person, so we do not promise perfect anonymity.

Notifications

We process your device notification token so we can send you application-status notifications, renewal reminders and any other service notifications you have chosen. You can turn notifications off in the app or in your device settings.

Service providers

We use trusted infrastructure and technology providers, such as hosting, database, authentication and notification-delivery services, who may process information on our behalf where that is necessary to run the service. We only share what is needed for them to do that work.

We do not sell your information

KhanTech Labs does not sell personal information to advertisers or data brokers.

Deleting your account and information

You can ask us to delete your account and the personal information linked to it:

• in the app, where that feature is available; or
• by emailing khantech.apps@gmail.com from the email address on your account.

We will act on a genuine request, but deletion may not be immediate. We may need to keep some information for a limited time where that is necessary for legal obligations, security, fraud prevention or legitimate record keeping. De-identified processing-time information that no longer identifies you may also be kept.

You can also contact us to ask what information we hold about you, or to have it corrected.

Security

We use reasonable technical and organisational measures to protect information, including encrypted storage for sensitive tracking details. No system is completely secure, and we cannot guarantee absolute security.

Children

The service is not intended for children, and we do not knowingly collect personal information from them.

Changes to this policy

This policy may change as the service develops. The latest version will always be published at this address, with the “Last updated” date at the top.
